 A leading beauty distributor is seeking a ‘HR Manager’ based in Dubai to handle HR operations for UAE, KSA, Kuwait and UK.

This role can be full time or part time depending on the candidate and experience
Recruitment and Staffing:
Understand company recruitment requirements and ensure all requirements are well budgeted and approved by CEO/CFO
Review and discuss recruitment requirements with CEO/CFO and ensure correct steps are being taken to avoid future terminations and redundancies
Develop and maintain a comprehensive database of updated job descriptions and apply an appropriate job evaluation system to determine the relative importance of jobs and assig a suitable job grade for every position at all times to ensure all roles in the company have evaluated job descriptions in line with the approved organisation structure
Source and recruit exceptional talent via available portals and existing staff; utilize recruitment agency as a last resort and as approved and directed by CEO/CFO; negotiate staff packages
Prepare and maintain offer letters, employment agreements as per company policy and guidelines and as per CEO/CFO approval
Create and maintain staff schedules along with commercial team and sales supervisor and communicate them to appropriate retail management team
Strategically guide and coach staff when appropriate and advocate professional growth
Coordinate with Commercial Teams and ensure new and existing staff are scheduled for trainings

Employee Relations:
Responsible for all matters concerning the complete employee lifecycle
Ensure all employee files are kept up to date and as per Labour Laws
Strategically and legally apply HR knowledge to ensure Company wellbeing at all times
Responsible for all on boarding activities: immigrations, visa, employee induction, policy reviews, new joiner forms, E-mail IDs, business cards, IT related equipment, team introductions, etc.
Ensure the company has collected and filed all required documents to avoid court or legal actions
Maintain best practise and ensure enhancements are developed to comply with company stability and growth
Coach and guide management staff towards employee complaints and best practises on ways to handle individual cases
Responsible for preparing and filing all staff letter requests (bank, immigration, NOC, RTA, payslips, salary certificates, salary increase letters, employment confirmations, travel, etc.)
Staff and team events, birthdays, achievements, etc.
Promote work life balance and maintain corporate culture
Maintain, track and file staff leaves: sick, annual, hajj, maternity, etc.
Create and maintain HR shared folders with various activity and data
Accountable for all processes related to probation periods, employee grievances, performance improvement plans and disciplinary actions
Responsible for all exit formalities and procedures: exit, termination, resignation acceptance letters, visa and EID cancellations, company asset collections, EOSB as per law and according to individual cases of resignation or termination, hold and deduct final payments – if applicable
Create, maintain and oversee yearly employee appraisals and performance reviews along with CEO/CFO

Payroll:
Responsible for providing monthly payroll to finance team as per agreed timelines, along with headcount sheets, commission and staff location files, expense forms and receipts
Annual flights allowance for company staff, petrol receipts and ensure they are company related
Reimbursements and expenses related to employee entitlements as per CEO approvals
Maintain detailed finance reports and reconciliations; EOSB and bank clearances
Accountable for all requests from the Finance team regarding HR
Compensation and Benefits:
Ensure company policies, wellbeing and budgets are strictly adhered to at all times
Strategically design, develop, review and monitor company policies and employees benefits and plans and ensure they are aligned to the compensation grid
Build and develop various competencies according to organizational requirements and future growth
Enhance current entitlements as per company’s growth and vision
Review budgets for current and future vacancies and ensure new recruitment and current staff comply with set budgets and restrictions
Prepare letters for promotions, increments and bonus as per approvals by CEO/CFO
Drive and oversee the yearly budget and appraisal exercise along with CEO/CFO
Stay up to date and review nationwide salary and benefit grids and corporate standards
Conduct periodic companywide surveys and implement change and enhancements as per CEO/CFO approvals
Support CEOs and CFO as and when required
Health Insurance:
Maintain and oversee all records associated to new enrollments, deletions and changes for all staff
Obtain and negotiate competitive quotes for yearly renewals
Thoroughly understand staff requirements who are under husband/father sponsorships and obtain NOC from sponsor to ensure whether they do/don’t have current health coverage
Other:
Encourage a positive, comfortable, and healthy working environment in the Company and amongst all personnel
To ensure the Company is always operating within the labor law and look out for the best interest of the Company and its employees.
Create various reports and trackers; requests from CEOs, CFO and Management Teams
Work alongside EA and Company Driver and ensure daily matters are well executed

Skills
At least 5-8 years experience within HR at Mid-Level
Ability to effectively communicate with colleagues, management remotely across different countries
Ability to work under pressure and to tight deadlines
Understanding of UK employment law would be advantageous
